CUSTOMER POLICY / ARTWORK TO PRODUCTION

Artwork, Proof Approval & Production

Orders designed in our online editor are made from the editor preview and its automatic checks, without a separate proof, and are paid at checkout. Products the editor does not make are reviewed before you order them, and the design is confirmed in that review. Bulk and OEM orders we agree by email are confirmed in that exchange, with the formal proof described below where the order needs one, before we set the order up for payment.

01

The order workflow

Editor orders (designed in the online editor and paid at checkout):

  1. Design the product in the editor. The preview shows the cut line, white ink and finish, and the automatic checks point out problems such as low resolution.
  2. At checkout, check the designs, quantities, shipping and address, then pay with PayPal. The amount is authorized (held) on your account; nothing is charged yet.
  3. The factory checks the files and starts production. The held amount is charged when production starts, and at the latest 3 days after payment.
  4. If the factory cannot make the order, it releases the hold and cancels the order; nothing is charged.
  5. We inspect, pack and ship the finished goods.

Orders agreed by email (bulk and OEM work the factory team quotes by hand):

  1. Tell us what you need through the quote form or by email, with your artwork.
  2. We agree the specification and price with you by email, with a formal proof where the order needs one.
  3. We set the order up in your account; pay it by PayPal or bank transfer by the date shown there.
  4. Production starts once the payment has arrived.
  5. We inspect, pack and ship the finished goods.

For editor orders, the editor preview and the specification shown at checkout are the production reference; for approved designs, the design and specs approved in review. For orders agreed by email, automatic previews, website mockups and product photographs are visual references only; the written specification agreed by email, the approved formal proof and the approved physical sample, where applicable, are the production references.

02

Editor orders: checks, payment and cancellation

No separate proof is prepared for an editor order, so check spelling, size, colors and the cut line in the editor before you pay. A problem the automatic checks pointed out and you chose to ignore is not covered by our quality guarantee.

Payment is authorized when you pay and captured when production starts. If production has not started within 3 days, the amount is captured then and production follows.

A paid editor order cannot be cancelled. If we need a new file or an answer from you before starting, we pause the order and email you; the held payment is still captured on schedule. If we cannot make the order, we cancel it and release the hold, or refund in full if the payment was already captured.

Paid orders are not refunded for a change of mind. If we agree to stop an order at your request after production has started, the cost of the work already done is deducted. If we made a mistake, we remake or refund the affected items under our Returns & Quality Guarantee.

If we cannot ship by the latest ship date shown on your order page, we email you, and you can choose to wait for the new date or cancel the order for a full refund.

03

Products we review before you order

Products the online editor does not make, such as rhinestone and gem transfers, enamel pins and wooden badges, are sent to us for review first: choose the specs, upload the design (and its source files, if you have them), and we reply within 1–3 business days.

An approved design comes with its price (or price ladder), minimum quantity and multiple, mold fee and sample price, valid until the date we give. The design is confirmed in that review, so paying for an approved design authorizes production as approved; there is no further proof.

The mold fee is charged once, with the first order of that design, whether that is a sample or a bulk order; repeat orders of the same design do not pay it again. If we cannot approve a design, we tell you why, and you can change it and send it again.

From payment on, these orders work like editor orders: the amount is held and captured when production starts, a paid order cannot be cancelled, and the same returns and quality guarantee applies.

Artwork requirements

Preferred production formats include AI, PDF, EPS, PSD, CDR and transparent PNG. JPG or JPEG files may be used where the resolution is sufficient. Engineering projects may also use DWG, STEP or STP files when agreed in advance.

For print artwork:

  • Work in CMYK where possible. Japan Color 2001 Coated is the recommended CMYK profile.
  • Supply raster artwork at 300 DPI at the finished size: a 64 mm piece needs about 760 pixels on its longest side, a 152 mm one about 1,800.
  • Transparent PNG, layered PSD or vector artwork is preferred.
  • Name every design and variant clearly and include its quantity.
  • For multiple designs, place the files in one clearly structured folder or archive.
  • Do not draw an acrylic cutline unless a product template or Glintmade specifically asks for one. The production contour will be shown in the formal proof.

If the website upload control cannot accept the files, submit the order details without the files and contact info@glintmade.com for an alternative transfer method.

05

Proof timing

This applies to orders agreed by email that need a formal proof; editor orders and approved designs have no separate proof. The first formal proof is normally sent within 2 business days. Complex orders or orders containing more than five designs normally require 2–5 business days. A revised proof is normally sent within 1–2 business days after we receive a complete revision request.

Proof timing is not included in production time. Sending changes in one consolidated message helps avoid delays.

06

Changes and cancellation before approval

For orders agreed by email, you may request corrections and revisions before approving the final formal proof, and cancel before you pay. Production does not begin until the payment has arrived and any formal proof is approved in writing. Unpaid editor orders can be cancelled from the order page; paid editor orders cannot.

07

Approval is final

After written approval, the proof is treated as correct and ready for production. The approved design, dimensions, spelling, orientation, cut contour, print sides, accessories, quantities and packing details cannot be changed or cancelled. Customer errors visible in the approved proof are not manufacturing defects.

If a customer requests a change after approval and the work can still be changed, Glintmade will quote any scrap, remake, administration and delay costs before proceeding. We are not required to accept a post-approval change.

08

Production feasibility exception

For an order agreed by email, the production team may occasionally discover a cutting, weeding, assembly, safety or process problem after the proof is approved. We will pause the affected item, explain the issue and provide a revised formal proof. Production will resume only after the revised proof is approved in writing.

If the revised version can meet the intended specification, its schedule will be recalculated after approval. If we cannot produce an agreed key specification, you may cancel the affected item and receive a refund for that item. Glintmade does not charge a new proof fee when the revision is required because of our production-feasibility assessment.

Editor orders and approved designs have no proof to revise. If we find such a problem before production starts, we ask you for a corrected file, or cancel the order and release the held amount so nothing is charged. If we find it after production has started, we cancel the affected order and refund it in full.

09

Repeat orders

An exact repeat order may use a previous Glintmade order number or saved design reference. Selecting the previous design and completing payment authorizes production to the previous specification and goes directly into production. Repeat orders therefore cannot be cancelled after payment.

Any change to artwork, size, material, color, process, accessory, construction, packaging or destination requirements makes the order a new version. An order agreed by email then needs a new proof; a changed editor design is a new design, made from its own editor preview.

Customers should retain their original artwork and approval records. Glintmade keeps order files for as long as reasonably necessary to produce, support and document orders, but does not promise indefinite storage. You may ask us to delete files that are no longer required, subject to legal and business record obligations.

10

Inactive proof approvals

Customer review time is not included in production time. If customer-provided information or approval is outstanding for more than three months and the order can no longer reasonably remain open, we may send a final written reminder. If no reply is received within seven days, we may close the order and refund the unproduced amount, less any clearly disclosed non-refundable work or third-party fees already incurred.

11

Standard production estimates

Production time is counted in business days. Editor orders count from payment, as below; for orders we quote by hand the same number of days counts from the business day after you approve the formal proof. The estimates exclude weekends, public holidays, shipping and customs clearance.

Product groupNormal production estimate
Acrylic products7–12 business days after payment
Stickers7–12 business days after payment
Badges, magnets, posters, apparel and other editor products7–12 business days after payment
Rhinestone transfers7–15 business days after payment
Sewn or woven bags12–20 business days after payment

The product page, quotation or pro forma invoice controls if it states a different estimate. When one order includes several products, the expected ship date follows the item with the longest production time.

12

Rush production

Rush production is available only for eligible products and only after Glintmade confirms capacity in writing. Availability and fees depend on product type, complexity, quantity and the current production schedule.

Rush production does not bypass formal proof approval and does not shorten customer review, shipping or customs time. Express shipping, if required, is quoted separately. Tell us about a convention, launch or other fixed event date before ordering. Unless the pro forma invoice expressly states that a delivery date is guaranteed, all production and delivery dates are estimates.
